Control Dimension Balancing requirements

If you have a need or requirement to prevent out-of-balance posting for some or all General Ledger Dimensions in your system, this is an extension that will help you achieve and meet that requirement. It is easy to use with very little setup required.

Features

The balancing testing is fully integrated into Business Central, and once enabled, will not only prevent posting of out-of-balance entries for selected Dimensions, but will also show the related errors for those entries within the standard Business Central Journal Check preview factbox. If the Journal Check preview factbox is set to automatically update (which it normally is by default), you can continuously see out-of-balance issues and errors while you are entering journal lines, and address those as needed before attempting to post your journal.

We have also included the ability to control what combination of Document Header vs. Document Line dimensions are allowed to differ. In Sales & Receivables, Purchasing, as well as Service Management, all document header dimensions would normally create in-balance entries in the General Ledger, and the same is true for each individual line's dimensions. However, there is no standard functionality to ensure that only the same dimensions and values are used on both header and lines. This extension adds that ability, that can be enabled for Sales & Receivables, Purchasing and Service Management individually in each module's setup.

Overriding of balancing requirements

In order to allow for occasional exceptions, we have added the ability to override the balancing requirement for any journal line being entered in a journal (or for selected document line in Sales & Receivables, Purchasing and Service Management). The ability to override can be controlled using settings in User Setup.

Controlling requirements setup and override

Note: By default, if no User Setup is done, anyone can set, change, or remove Dimension Balancing requirements, as well as use the override on journal- and document line entry. There are two settings available in the User Setup to control and limit the access and ability to do either of these things; one (or more) users can be set up as "Administrators" of the Dimension Balancing.

Once any user has been defined as an "Administrator", the access to dimension balancing setup, as well as the override ability, immediately becomes much stricter:

• Only Administrators can add, change or remove Dimension balancing requirement setup.
• Only users who have explicitly - in User Setup - been given the ability to override in line level can do so.
